Description:
The Operations/Human Resources Manager works directly with the Vice President to assist, oversee, and perform duties in the company’s administrative operations including Human Resources, Accounting, IT, and other Operations. This position is highly flexible and needs-driven therefore he/she may also perform a significant amount of other work as required.
Essential Duties:
Responsibilities include but are not limited to:
Human Resources
- Data entry of employee information in HR database and company calendar.
- Timesheets: reminders, printing, verify PTO, data entry into HR database.
- Responsible to develop and maintain employee benefits including proposal and implementation of authorized improvements.
- Develop/maintain/manage employee files
- Conduct TG35 interviews in conjunction with VP
- New employee entrancing, including new hire paperwork and benefits enrollment.
- Termination processing.
- HR Legal including Handbook, Policies and Procedures, recommendations for changes and corrective actions.
- Maintain postings and files for EDD, local and state government compliance.
- Analyze benefits options and recommend plans; administer benefits; interface with benefits providers including Medical, Dental, Life Insurance, 125 Plan and 401(k) at minimum.
Payroll
- Create, collect and manage timesheets including lead approvals.
- Job costing date collection.
- Enter semi-monthly payroll.
- Interface with accounting consultant on GL
- Distribute checks
- Generate 1099’s and W2’s
- Manage 401K deposits.
Accounting and Finance
- AR and AP processing in Business Works including cost code allocations, data entry, check run preparation, distribution of signed checks.
- Collections follow up as needed.
- Monthly financial reporting
- Cash flow Projection document
- Fixed assets and property tax processing
- Tax data preparation for CPA
Information Technology
- Provide IT support coordinating with Executive Administrator with guidance from IT consultant when necessary including backups, troubleshooting, servers/network/internet functionality and monitoring of stored data and removal of excess data under a plan created by Management.
- Provide IT support for workstations coordinating with Executive Administrator.
- Inventory and maintain software licenses in fixed assets records.
Physical Facility
- Communicates and follows-up with landlord, maintenance workers, and security.
- Responsible for safety plan creation, maintenance and execution.
- Proposes and coordinates with Senior Staff and Executive Administrator for overall space allocation and planning.
Desired Qualifications:
- 5 years HR/Accounting experience
- Business degree or relative experience
- Excellent oral and written communication skills
- Able to focus and work without micromanagement
- Willingness and ability to operate within a true team-oriented atmosphere
- Proficient in standard office software (Excel, Word, PowerPoint, Outlook) and accounting software.
Compensation:
- Salary $50,000 + (DOE)
- Full benefits include medical, dental, 401 (k) plan, FSA plan, dependent care plan, POP plan, self funded vision plan, STD, LTD, and life insurance. AFLAC plans are available. Eight holidays per year.
- Fifteen days of PTO per year.
Working Conditions:
Position requires prolonged sitting, standing, walking, reaching, twisting, turning, kneeling, bending, squatting, and stooping in the performance of daily office activities. The position also requires grasping, repetitive hand movement, and fine coordination in preparing statistical reports and data, using a computer keyboard. Additionally, the position requires near and far vision in reading plans, reports and using the computer. The incumbent also must be available to be called for local emergencies, work irregular or extended hours, and work with constant interruptions.
